About this policy

This policy explains what personal information ClarityAU collects, why, how it is handled, how long it is kept, and how you can access, correct or ask us to delete it. It is written to follow the structure expected of an Australian Privacy Policy under the Australian Privacy Principles.

What we collect

ClarityAU holds:

  • Account information: your email address, your name if you provide it, and sign-in details handled by our authentication provider.
  • Property information: the addresses and journey details you enter about the properties you are buying, selling or renting.
  • Documents you upload: contracts, leases, reports and other property documents.
  • Text extracted from those documents, including text recovered from scans.
  • Analysis information produced from your documents: summaries, key dates, amounts, obligations, risks, suggested questions and checklist state.
  • Payment records: what you bought, when, how much, and the payment reference. Card numbers are never seen or stored by ClarityAU.
  • Operational records: processing events, security and audit logs, and counts of the funnel steps described below.

Why we collect it and how it is used

Information is collected to provide the service you have asked for: reading and summarising your documents, building your property record, applying your plan's allowances, keeping your account secure, and meeting our record-keeping obligations.

Your documents and their content are not used to advertise to you, are not sold, and are not shared with anyone other than the service providers described below.

Service providers

ClarityAU uses a small number of providers to run the service. Each one only handles what it needs:

  • Cloud database, file storage and authentication provider — stores your account, property records, documents and analysis.
  • Document processing worker — splits large PDFs into pages during processing.
  • Artificial intelligence provider — reads document text and produces the summary and structured findings.
  • Payment provider — processes payments and issues payment receipts. It receives your payment details directly; ClarityAU does not.
  • Email provider — sends account and purchase notifications. Notification emails do not contain document content.
  • Error monitoring — receives redacted technical failure reports. Document content, extracted text, analysis findings and email addresses are removed before an event is sent.

Where information is stored and processed

Known locations: ClarityAU's primary database and document storage are hosted in Tokyo, Japan. The worker that splits large PDF files into pages runs in Sydney, Australia.

Provider-dependent locations: artificial intelligence processing and payment processing use external providers. Their exact processing locations are not verified from ClarityAU's current configuration and may be outside Australia. This section will be updated when those locations are confirmed.

ClarityAU does not claim that your information stays in Australia, is hosted only in Australia, or is processed only in Australia.

How long information is kept

Original uploaded files are kept during your active access period and for 30 days after it ends, then deleted. Where there is no access period, an original is kept for 365 days from the date it was reviewed. You can delete an original yourself at any time, and download it first.

When an original is deleted, the stored file, the working copies used during processing and the extracted page text are removed. The structured information already produced stays in your account — summaries, dates, amounts, questions, checklists and your property record — so your property history remains useful after the documents are gone.

Routine encrypted backups are kept separately and roll off on their own cycle, up to 30 days.

Payment records and security and audit records are kept for as long as required for tax, legal and dispute purposes.

Measurement

ClarityAU counts a small set of product steps to understand whether the product works: account created, purchase activated, property created, document uploaded, review completed, and journey outcome. These records contain an event name and your account identifier only — no document content, no analysis findings, no addresses and no financial information from your documents.

There are no advertising trackers, no third-party marketing pixels and no behavioural profiling.

Security

Access to your information is restricted to your own account at the database level. Documents are stored privately and are served through short-lived links to you alone. Administrative access is limited to authorised operators and is recorded in an audit log.

No service can promise perfect security, and ClarityAU does not claim to.

Access, correction and deletion

You can view and correct your account and property information at any time in the product, and delete individual original documents and properties yourself.

You can ask us to close your account from your account page. Closure disables access and starts the deletion process for your personal information, except records that must be kept for payment, tax, security or dispute purposes.

You can also ask for a copy of the personal information we hold about you, or ask us to correct it, using the contact address below.

Complaints

If you are concerned about how your information has been handled, contact us first and we will respond. If you are not satisfied with the outcome, you can contact the Office of the Australian Information Commissioner at oaic.gov.au.
